Abstract
Digital transformation in higher education institutions demands the implementation of modern, efficient, and integrated administrative service systems. The increasing need among students for various administrative services—such as internship recommendation letters, academic transcripts, and account management for administrative staff—highlights the importance of a centralized digital system. This study aims to develop an Integrated Academic Administrative Service Information System (SIPATCA) that facilitates the digital management of administrative processes for students, administrators, and super administrators. The system development method applied is a hybrid Water-Scrum-Fall approach, combining the strengths of the Waterfall and Scrum models. This method was selected to ensure detailed planning and documentation at the early stages (Waterfall), iterative and flexible development during the implementation phase (Scrum), and controlled deployment in the final stage (Waterfall). The system was built using the PHP programming language with Laravel version 10 framework, and deployed on Niagahoster cloud hosting. Email verification is handled through Gmail SMTP configuration. Key features of the system include student registration and login via institutional email, submission of internship letters and transcript requests, a guide document management module for administrators, and account management features for super administrators. The system’s source code is structured in a modular fashion based on user roles. The development process also involved version control through GitHub and deployment using Niagahoster’s cPanel interface. The resulting system is expected to improve the speed, transparency, and documentation of academic administrative services, transitioning from manual workflows to an efficient digital platform. SIPATCA is envisioned as a relevant solution to support digital transformation in academic institutions and to enhance the overall quality of internal services for the academic community.
